My client is looking to add to its family of permanent staff. They are looking for an exceptionally talented Production Support Manager who is ready for the challenge of supporting a team in producing a AAA title on the next generation platforms. This role will involve providing an efficient and effective administrative support to our video game production and studio functions. This job role will include a number of managerial responsibilities, broadly described as supporting the Studio Director, and Senior Management team where necessary. The role also involves managing the office expansion projects, and looking after various creative and design based projects.
The Production Support Manager manages a team of 4-5 people.
·Production support responsibilities mainly entailing a provision of day to day administrative functional support to the Executive Directors (Studio Director and Creative Director).
·Assist senior management team in the day-to-day administrative running of the studio.
·Managing, leading and delegating admin support functions to Junior Production Assistants, Office Managers, and the Receptionists.
·Support Studio Director on office expansion and office design projects.
·Organize business travel arrangements for senior team members. Also delegation of travel bookings for other staff positions including hotels, flights, car rental reservations, travel insurance, ESTAs, airport transfers, etc.
·Maintain and collate approved invoices for each business travel booking for senior members of staff. Supervise Junior Production Assistants and delegate to them online expense travel claims for other team members.
·Overseeing the progression of the approval cycle for business expenses, including Concur expense claims.
·Timely approvals on behalf of the Senior Director for staff expense claims.
·Training immediate admin support staff on various aspects of Concur system.
·Supervising and delegating reconciliation of all business credit card statements for authorised employees.
·Assist finance and accounts team with procurement and vendor set up processes.
·Supervise daily food and dinner orders for studio teams and production members who shall be working extra hours during the project development cycles.
·Managing hospitality and welcome duties for VIP clients and business visitors.
·Supporting recruitment functions and co-ordinating with internal recruiter and external recruitment agencies.
·Co-ordinating all support aspects of the first phase of studio expansion program (E.g. co-ordinating with builders, architects, suppliers and insourcing of furniture and lighting.)
·Supervision of second phase of studio expansion program (liaison with Project manager, outsourced contractors and project surveyors.)
·Budget estimation and budget management of office assets procured under studio expansion programs
·Supporting and managing all future studio expansion projects.
·Main point of contact for issuing of MNDA documentation for all external business parties.
·Prioritising of approval process for SAP based payments approvals for the business.
·Supporting Brand Marketing Producer with organisation of in-house Photography, shoots and sourcing of equipment.
·Other ad-hoc administration duties as requested by pertinent Production and Studio Managers to ensure smooth running of the production department and the studios.
